Our let only service

Colwills let only service provides hands on landlords with everything they need to run a successful rental property.

Our team of lettings experts are here to guide you through the process, from agreeing the optimum asking rent, marketing your property, finding a suitable tenant, carrying out reference checks and ensuring your property is compliant from the start of the tenancy. One of our experienced valuers will come to your property and provide you with an honest and accurate rental assessment, where available, we will use comparable evidence to support our valuation. It is crucial to start with the correct price and discuss any alterations or ways to maximise the letting potential.

Upon receiving your instruction, we will prepare all the marketing material required. Measurements, description and photographs are taken and we will also organise the legally required Energy Performance Certificate (EPC) via one of our accredited assessors.

We launch your property on all platforms:,, to name but a few; enabling us to advertise your property as far and wide as possible. We will also produce a quality and eye catching wall/window card. In Bude’s biggest and most prominent agency premises, you will not be missed!

We will arrange viewings at a convenient time to suit you or the existing tenant; if the property is vacant we will ask you for a key. We will qualify the tenant’s situation and make sure one of our team is there to accompany the appointment. With more letting staff than any other agent in Bude, we can ensure that your property gets the best viewing experience. It also gives us an opportunity to vet and check the suitability of the tenant.

Upon receiving an offer on your property the first thing we do is appoint the most suitable negotiator to handle this. It may be the person who carried out the viewing or someone who has simply built the best rapport with the potential tenant. We also check the tenant’s position and any special conditions. It is important that we know all of this at an early stage to avoid any future problems.

To ensure we have the right tenant for your property, we conduct a series of reference requests, these can be a combination of: an employers or accountants reference, previous landlords’ reference or a personal reference. We also request copies of bank statements to check a tenant’s cash flow and money management. Whilst we are keen to let your property, we will only do so once we are happy with our strict referencing checks.

Once all of the referencing is clear, we will prepare all the legal documents required under the landlords and tenants act’. This will be the tenancy agreement (usually an Assured Shorthold Tenancy) and the issuing of the Deposit Information Certificate, together with relevant accompanying notes.

At Colwills we produce a full and detailed inventory for all our landlords as part of our service. This is a detailed record of the property’s condition on a room-by-room basis and is further accompanied by photographs for additional evidence. Meters will be read at this point. We will also ensure that you have a current Gas Safety Certificate, Electrical safety certificate and that any other recommendations are adhered to.

We will notify all the relevant utility companies of a change of occupant and provide them with meter readings. (We are not always able to obtain a reading for water. In this instance South West Water will be asked to conduct their own.

On moving day (or earlier), we will ensure that the first month’s rent and agreed deposit is paid by the tenant in cleared funds. From this amount we debit our charges and forward you the balance together with a full statement. At this point we will also provide the tenant with your contact details and assist the tenant with setting up a standing order direct to your bank for future monthly rent payments. Finally, we also provide the tenant with a copy of the Gas Safety Certificate

We offer two types of service for our Landlords; Let only and fully managed- for further information on what each includes contact a member or our lettings team.

Our costs for each are as follows:

Let Only fee is the equivalent of the first month’s rent, subject to a minimum fee of £500. (Inclusive of VAT).

Fully Managed comes with an initial set up fee of £500 and a rolling fee of 15% (including VAT) per month of the rent thereafter.

Fully managed service

Our fully managed service is designed for those who want to know their property is in safe hands and have minimal hassle and involvement. For this service we include everything contained within our “Let Only” service and the following:

We will collect the ongoing monthly payments. If payments are late we will be pro-active in chasing and monitoring ongoing future payments. We will issue warning notices where appropriate. Should the problem persist then we will advise on the best course of action.

Any new tenancy is inspected within 4-6 weeks of commencement. This enables us to check both the property and the tenant. If things are all ok then we revert to 6 or 12 month inspections. If we are not happy with the condition of the property then another inspection is scheduled to ensure the situation has improved. We will forward you a written report on the condition of the property. However, it is essential to note that these inspections will only identify noticeable defects at the property.

Colwills will take responsibility of the Day-to-Day management of your property. We will work with the tenants to arrange for general repairs or maintenance to your property and ensure all parties are kept informed and happy. If you require quotes for these works, most contractors that we instruct are happy to provide quotes free of charge. In an emergency, we reserve the right to carry out repairs without further referral to you. The cost of repairs will usually be deducted from the rental income. If work costs exceed the rental income or the rent is not imminent, we will write to you requesting additional funds to enable payment to the contractor.

Gas landlord safety checks will be taken care of by Colwills, as will any other legal or recommended checks. The aim is to ensure that maximum care has been taken to safeguard both tenants and your property.

We prepare and forward monthly income and expenditure statements direct to landlords. Our accounts department, will collect the rent, deduct any expenses and forward the balance straight into your account; this is usually done by bank transfer. Colwills also produce an annual income and expenditure statement for you to hand straight to your accountant. It makes your tax return so much easier.

When the tenancy ends, we will check the property against the inventory. This check will state our opinion as to whether the property is in a reasonable state of repair and/or subject to reasonable wear and tear. If relevant, we will endeavour to obtain the tenant’s agreement to deductions for the cost of any repairs to be taken out of the deposit. If they do not agree then we can use the Deposit Adjudication Service of the Deposit Protection Service. We will also require your written confirmation to return the deposit to the tenant, or to deduct reasonable and fair costs for any damages within fourteen days of the tenant vacating the property. We will also notify all utility companies of final meter readings and tenant’s forwarding address.
